Task Management Enhancements
Improved Tasked Handling
To streamline task management, we’ve implemented a series of updates in the Task Management window, making it simpler and more intuitive to track, follow-up on, and complete tasks.
Key Updates

Icon Removal: Phone and messaging icons have been removed from the Task Overview header for a cleaner appearance (callout 1).

Priority Location: Task priority now appears with the contact information, offering immediate context (callout 2).

Improved Field Separation: Dividers now segment drop-downs in the left column for enhanced clarity (callout 3).

Updated Messaging Field: The message entry area is now labeled, "Message to Patient" for better guidance (callout 4).

Task Documentation Labeling: The middle column header now displays as "Task Documentation" and the task notes field is marked as "Documentation for Medical Record" to clarify its purpose (callouts 5 and 6).
New Sub-Purpose Category for Tasks
A new Sub-purpose drop-down in the Task Management window and General Queue allows users to specify and view detailed reasons for each task.
NOTE: Options for Purpose and Sub-purpose are customizable to your practice’s needs. If your practice already customized the list of purposes, you will not see the new Sub-purpose drop-down. Please contact your Ontada Account Manager if any adjustments are required.
Sub-Purpose Feature Overview

Detailed Task Management: When creating new tasks or working on existing tasks, users can select one or more Sub-purpose, allowing for a more detailed description of the care required (callout 1). The sub-purpose list includes options for lab/imaging orders, review of labs/tests, symptom management, and medical record requests.

General Queue Visibility: A new Sub-purpose column in the General Queue (callout 2) lists selected sub-purpose options for each patient, showing all choices upon hover if multiple are selected. If a Sub-purpose was not selected, the field will remain blank.

Filter by Sub-purpose: Use the Task Purpose/Sub-purpose filter at the top of the queue to sort tasks by specific categories (callout 3).

Enhanced Task Summaries: Selected Sub-purpose options will display in the Task Summary PDF, viewable in the patient's chart under the Documents tab (callout 4). If no Sub-purpose is selected, the PDF will indicate “N/A” (callout 5).
Task Aging Improvements
The Task Aging column in the General Queue now reflects task durations based on minutes, providing more granularity for quick tracking. This improvement also provides a clearer sense of time elapsed for task management, ensuring timely follow-ups and support.
Updated Time Display

Minutes: Tasks will display aging in minutes up to one hour; e.g., "1 minute," "10 minutes" (callout 1).

Hours: After 60 minutes, times will display in hourly increments; e.g., "1 hour," "2 hours" (callout 2).

Daily: Once tasks reach 24 hours, aging displays in days; e.g., "1 day," "2 days" (callout 3).
